Job Summary

Manage the administrative and operational needs of a senior-level executive and/or their staff while serving as a key partner in reporting, communications execution, and cross-functional coordination. This role exercises discretion and independent judgment, operating in a structured, project-based, multi-functional environment to drive efficiency, alignment, and effective communication across the business unit.

Job Responsibilities

Lead preparation and coordination of reports including budget tracking, performance metrics, and data analysis 
Translate data into clear, actionable insights to support executive decision-making 
Develop summaries and presentations from multiple sources 
Coordinate and execute business unit communications, including but not limited to: Employee messaging, Internal and external communications alignment, SharePoint content management 
Support business unit social media engagement in alignment with company standards 
Ensure messaging is consistent with executive priorities, company policies, and brand voice 
Operate effectively in a structured, project-based environment, managing multiple priorities simultaneously 
Partner across functions to ensure alignment on communications, reporting, and key initiatives 
Act as a liaison between the executive team and internal/external stakeholders 
Manage executive calendar, meetings, travel, and expenses 
Independently resolve complex administrative and operational challenges 
Prepare correspondence, reports, and executive level communications 
Review outgoing communications for alignment with executive intent and company policy 
Provide recommendations to improve administrative and communication processes 
Interface with senior leaders and external stakeholders with professionalism and discretion 
Support confidential matters and high-priority initiatives 

Qualifications

Associate’s degree in related discipline (or equivalent experience) plus 10 years of experience in progressively responsible and varied office management
Strong written communication skills, particularly in executive messaging and internal communications 
Experience with data analysis, reporting, and presentation development 
Ability to manage SharePoint or similar content platforms 
Proven ability to work in a fast-paced, multi-functional, project-driven environment 
High level of judgment, discretion, and initiative 
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) 
Ability to influence and communicate effectively across all levels of the organization
