R & O Contracts Coordinator

Job Summary

Reporting directly to the Senior Manager, the Repair and Overhaul Contracts Coordinator is responsible for the management, negotiation, execution and administration of contracts related to the Repair and Overhaul and maintenance of products and systems. This role ensures compliance with contractual requirements, company policies and applicable laws and regulations. The R & O Contracts Coordinator acts as the primary interface  with customers, suppliers and internal stakeholders on contractual matters. The Contracts Administrator will also provide support to Contracts Specialists, Business Unit leaders and Program Managers as required to ensure the commercial interests of the company are served and protected in dealings with third parties. This role is in office and reports to our Bedford, NS location.

As R & O Contracts Coordinator, your main responsibilities will include, but are not limited to:

Contract Coordination

  • Clarifying customer requirements
  • Review of contracts for accuracy and conformance to negotiated terms and conditions and arrange for formal company acceptance
  • Close out of program on completion of all contractual obligations

Contract Support

  • Preparing, issuing, and maintaining Sales Orders
  • Ensuring proper documentation and authorization for all contract deliverables
  • Ensuring return of any customer furnished equipment, material, or data; and records are archived in a manner that will facilitate any subsequent program audit activities
  • Ensures contracts reflect accurate scope, schedule, deliverables, pricing, and performance terms  
  • Serves as the primary point of contact for contract-related communications with customers and suppliers
    Collaborates with internal departments (e.g., Supply Chain, Finance, Program Management and Quality) to ensure contract compliance and delivery
  • Providing systems reports as required
  • Working with Legal on various agreements
  • Supporting Finance, Planning, and Shipping department on contract related issues

What you need to be successful in the role:

  • Possession of a Diploma or Degree in Business Administration/Finance or related field of study from a recognized post secondary institution or equivalent years of experience
  • A minimum of two (2) years of relatable experience
  • Training in government contract administration or equivalent on the job experience preferred
  • Ability to efficiently organize and maintain complex contractual files
  • Some knowledge of government/defence procurement policy and contracting principles preferred
  • Proficiency in PC tools (MS Office, E-mail, Internet searches, Material Resource Planning Systems)
  • Deltek Costpoint experience preferred but not required
  • Excellent verbal, written and presentation skills
  • Effective team player with highly developed interpersonal skills and ability to interface well with people of different disciplines and levels
  • Expected to work with minimal supervision (Self Starter/Quick learner)
