Human Resources Assistant

Job Summary

Reporting directly to the Senior Manager, Human Resources, the Human Resources Assistant will provide day-to-day administrative and coordination support to the Human Resources team across the employee life cycle.  This role with support with recruitment, onboarding, offboarding, training coordination, records management, and general administration. This temporary 6-month contract role will be based in the Halifax, NS office and will be eligible for hybrid work.

As an HR Admin, your responsibilities will include, but are not limited to:

  • Coordinate interview scheduling including meeting invites, room bookings, and providing virtual links.
  • Issue, track, and process onboarding documentation for new hires.
  • Coordinate new hire onboarding logistics including start date confirmations, creating onboarding schedules, and welcome communications to staff.
  • Support access requests and coordination with internal partners (e.g. IT, Security, Health and Safety).
  • Coordinate exit documentation, create offboarding checklists, and track completion of offboarding steps.
  • Ensure mandatory training is completed by all employees and follow up on overdue requirements as needed.
  • Provide general administrative support to the human resources team members.
  • Maintain electronic human resources records ensuring strong attention to privacy and data integrity.
  • Monitor shared human resources inbox and route emails to appropriate team member.
  • Participate in the organization and hosting of employee engagement activities.
  • Assist with special projects as required.

What you require to be successful in the role:

  • Possession of a Diploma in Office Administration or Human Resources from a recognized post-secondary institution or equivalent years of experience.
  • Minimum of two (2) years of administrative experience in a human resources environment.
  • Excellent administrative and records management skills, with a high level of attention to detail and accuracy.
  • Proficiency with computers and the use of various software programs including Microsoft Office (Outlook, Word, Excel and PowerPoint) and ability to learn new information systems such as ADP Workforce Now, DynaFile, CostPoint, Shop Floor Time, and SuccessFactors.
  • Demonstrated ability to manage confidential information with discretion and sound judgement.
  • Strong organizational, time management, interpersonal, and communication skills.
