Job Summary
We are seeking a detail-oriented and self-motivated Accountant with a strong background in Accounts Payable to join our Finance team. This role is ideal for someone looking to transition from AP to the general ledger, who thrives in a fast-paced environment, enjoys process improvement, and can manage multiple priorities while maintaining accuracy and compliance. The Staff Accountant will handle a variety of accounting functions, with primary responsibilities in AP processing, Purchase Card administration and reconciliations, and supporting the month-end close process
Job Responsibilities
Accounts Payable (Primary Focus)
- Process vendor invoices promptly and accurately, ensuring proper coding, approvals, and compliance with company policies.
- Route invoices for approval through Path in accordance with established workflows.
- Save files and create complete voucher packets for payment processing and audit support.
- Review invoices for completeness, accuracy, and adherence to contractual terms.
- Match invoices to purchase orders and receiving documentation when applicable.
- Maintain accurate AP files and vendor records.
- Administer Purchase Card Programs (Amex and BOA), including reconciliation and payment of purchase cards.
- Review and process monthly purchase card statements, ensuring supporting documentation is complete.
- Follow up with cardholders to resolve discrepancies or missing documentation.
- Prepare and process weekly check runs, ACH, and wire payments.
- Research and resolve vendor inquiries and payment discrepancies.
- Monitor AP aging reports and follow up on outstanding items.
- Facilitate monthly AP expense accruals.
- Assist with month-end and year-end close activities, ensuring all deadlines are met.
- Support the preparation of audit schedules and provide documentation to external auditors.
- Maintain compliance with internal controls, accounting policies, and applicable regulations.
- Serve as backup for Travel & Expense report processing and payments.
Process Improvement & Collaboration
- Identify and implement process improvements to enhance efficiency in AP and related accounting functions.
- Collaborate with procurement, operations, and other departments to streamline payment workflows.
- Support special projects, system enhancements, and upgrades as assigned.
Qualifications
- Bachelor’s degree in accounting , finance or related field (or equivalent experience).
- 3–5 years of accounting experience, with at least 3 years in Accounts Payable.
- Experience with ERP systems (e.g., Costpoint, SAP, Oracle, NetSuite) preferred.
- Proficiency in Microsoft Excel (pivot tables, VLOOKUP) and Microsoft Office Suite.
